Document Destruction

Every department on campus should have a records retention schedule that includes the routine destruction of records that have reached the end of their life cycle. It is important to destroy records as mandated by the Board of Regents Retention Guidelines to reduce the legal liability of the University and to preserve confidential information protected by federal laws. Kennesaw State University has contracted Iron Mountain Records Management to take care of the University's document destruction needs.

For the destruction of confidential information, we recommend that you use a secured console from Iron Mountain instead of a paper shredder. The console is bonded and secure, and can be used for even the most sensitive information including social security numbers, financial information, and student records. The console is intended for paper documents - whether stapled, clipped, or bound. The consoles will be emptied once per month, and the contents taken to an off-site destruction center where they are destroyed using premium, industrial-grade shredders and pulverizers. Iron Mountain provides us with receipts for each service performed as well as a certificate of destruction. To order, call the Archives at x6289.

NEW POLICY: EFFECTIVE NOVEMBER 27, 2007

All boxes of material to be destroyed by Iron Mountain must be labeled with a red "DESTROY" sticker provided by DARM and placed next to the shred bin. PLEASE NOTIFY US FIRST AT x6289 BEFORE YOU PLACE ANY EXTRA BOXES OUT TO BE SHREDDED.
