Using the Archives

Access Policy. The collections in the University Archives are available for use by University students, faculty, and staff, as well as the general public, governed by the usage rules set forth below. The Archives reserves the right to restrict records on the basis of confidentiality laws or according to agreements made with the donor of collections. The Archives also reserves the right to restrict access to unprocessed collections.

Use of Archive Materials. Archival materials are often unique and irreplaceable. Items may be fragile, become degraded with use, or be susceptible to loss or theft. So that we may preserve these materials for generations to come, we ask that you observe the following the procedures and guidelines:

* Researchers are asked to fill out a registration form before using the collection, and to sign in once daily during research visits.

* Archival materials do not circulate.

* Archival materials may be used only in the reading room of the Archives.

* Stack areas are closed to researchers, except when accompanied by an Archives staff member.

* No food, drink, or tobacco products are allowed in the Archives.

* We reserve the right to inspect backpacks, briefcases, and other personal items upon entering and exiting the reading room.

* Please treat the items with care, making sure not to mark, fold, or mutilate them. The archivist reserve the right to restrict use of extremely fragile items. We provide gloves for handling photographs.

* Please preserve the order in which papers are arranged. Do not rearrange them yourself.

* We ask that you use pencils for note-taking. You may use a laptop computer or other electronic devices as long as they do not disrupt other patrons.

Copyright, Duplication and Use of Archive Materials in Publications.

* The University Archives will consider requests for limited reproduction of material depending upon the condition of the item and when duplication does not violate donor agreements or copyright law.

* If you wish to publish or quote material from our collection, please secure written permission from the Director of Archives. In some cases, the Archive may not own the intellectual rights to archival materials in the collection. It is the responsibility of the researcher to acquire permission from the copyright holder.
