Conference Services

Continuing Education at Kennesaw State University offers a wide range of conference management services. We will help you maximize the success of your event by handling the details of registration, payments, marketing, etc. so that you can focus on your area of expertise -- the content. Your attendees will be provided with exceptional customer service from our trained staff.

We can help you choose a site, review contracts, coordinate event logistics, provide marketing support and process your registrations. Services are available a-la-carte, or as part of a comprehensive package. For event or conference planning please contact conferences@kennesaw.edu or 770-423-6765.

Before the conference:

Administrative & Financial Services

  • Advise your conference committee in the development of a comprehensive conference plan
  • Assist in development of the conference budget, including registration and exhibitor fees
  • Participate in conference planning meetings
  • Develop conference evaluations

Facilities Management Services

  • Serve as liaison for onsite management issues
  • Advise on selection of menus for meals and breaks
  • Coordinate audio/visual needs
  • Assist with design of the layout of exhibitor area

Registration Services

At your site, our site, or in a remote location, when you choose to hire our registration team, you get a complete support staff who will act on your behalf to accept registrations. In addition to pre-conference processing, our staff is completely mobile and will accompany your team to the event site for participant check-in, last minute registrations, and to hand out name badges and conference materials. Throughout the registration process, we will maintain and report attendance records and CEU credits, as well as prepare nametags and packets for conference attendees.

  • Develop registration forms, both printed and online
  • Receive registrations by phone, fax, mail and online
  • Process payments: checks, VISA, MasterCard, Discover, American Express and cash
  • Send invoices for approved Purchase Orders
  • Send registration confirmations to all registrants and exhibitors
  • Creation and maintenance of database of attendees and exhibitors, including CEUs (Continuing Education Units) awarded for attendance
  • Monitor requests for special needs
  • Process refunds according to conference refund policy
  • Access to courteous staff via our toll-free phone number available from 8 a.m. to 8 p.m., Monday- Thursday, 8 a.m. to 4 p.m. Friday (online available 24/7)
  • Design custom nametags with use of your logo and tagline
  • Send weekly enrollment and registration fee reports by e-mail

Marketing Services

Your event will be even more successful with the support of a professional marketing and public relations team. If your organization doesn't have the internal resources or time to promote your special event or conference, we can:

  • Advise with development of promotional materials, program, “save the date” cards, etc.
  • Assist with the development of e-mail marketing plan and timetable
  • Send online registration page to your webmaster for inclusion on conference website

At the conference:

  • Provide excellent customer service to all attendees: hand out materials, give directions and answer questions
  • Stuff conference bags with programs and promotional materials
  • Provide on-site check-in and walk-in registration services
  • Print additional nametags as needed
  • Collect conference evaluations
  • Monitor audio-visual needs for speakers and exhibitors
  • Act as liaison with onsite management staff

After the conference:

Once the conference is over, our work isn't complete until the books are reconciled, your attendees receive their certificates of attendance and CEU credits as requested, and we've provided a debriefing review. Every conference closeout includes a complete, balanced budget with your expenses and revenue clearly documented.

  • Provide final reports of attendees, exhibitors
  • Attend post-conference meeting with conference planning committee
  • Provide suggestions for future conferences
  • Maintain database of conference attendees and exhibitors for two years
  • Present final conference financial statement
