TESTS EARLY GRADE LETTER Students who need verification of their current term grades before transcripts are available may have their professor submit an early grade to the Office of the Registrar, from which an early grade letter will be generated. The letter must be sent to another institution or business, it can not be sent to the student. Forms are available in the Office of the Registrar, located in Kennesaw Hall, or may be accessed via the web by clicking on the link provided. ENROLLMENT VERIFICATION LETTERS A written request must be received from the student before a enrollment verification letter may be prepared. Requests are processed on a first-come, first-serve basis. Because of the large volume of requests, a 3-5 day processing time is required. Verification of the current term can only be processed after registration had ended for that term. Forms are available in the Office of the Registrar, located in Kennesaw Hall, or may be accessed via the web by clicking on the link provided. GPA CALCULATION GRADE CHANGES All changes must be completed by filling out the appropriate Grade Change Form, the Department Chair must also sign the form, then it must be sent to the Office of the Registrar through appropriate University means. GRADUATE ADMISSIONS TRANSCRIPT REQUEST Student's who return to KSU to pursue a graduate degree must provide the Graduate Admissions Office with copies all transcripts. The Office of the Registrar can send any transcript submitted to KSU for Undergraduate Admission, as well as the KSU transcript, to the Graduate Admissions Office with written authorization from the student. Forms are available in the Office of the Registrar, located in Kennesaw Hall, or may be accessed via the web by clicking on the link provided. GRADUATION Students are encouraged to petition for graduation the term before the graduation term. Petitions are not accepted prior to this. The last day to petition is the first day of class of the graduation term. The Office of the Registrar has five professional staff members who work with evaluations, degree audits, and other responsibilities. Students with advisement questions are sent to the faculty advisors. If you have a question which needs to be clarified with the Office of the Registrar, please call. We need to talk directly with you so that information will not be misinterpreted. We suggest that students not sign up for "just any class" since initial registration is allowed through the drop-add period. HOW TO CALCULATE YOUR GPA
MAJOR
CHANGE/DECLARATION (Program of Study) PETITIONS FOR GRADUATION See Graduation. PIN CHANGES Each student who enrolls at KSU is assigned a PIN (Personal Identification Number), which is their date of birth (MMDDYY). This number is used in conjunction with the KSU # for the student to enter all on-line student applications. These applications are accessed through the Owl Epress (button on the menu at left), also referred to as Owl Epress. Through Owl Express, students may change their PIN number and we encourage students to do so; however, in doing so, we ask that you please select a number which will be easy for you to remember. We also strongly suggest that you NOT share this information with anyone. If after changing your PIN you forget what you changed it to, the only way to secure your PIN will be to come in person to the Office of the Registrar and show picture identification. Any questions regarding your PIN may be addressed to the Office of the Registrar at the phone number listed above or through the e-mail link provided at the bottom of this page. POLICIES - REGENTS' AND INSTITUTIONAL Our policies are within the Board of Regents' guidelines. Any policy enforced by the Office of the Registrar is first approved by various groups on campus. Please call the Registrar to clarify any polices or to discuss possible exceptions. It is usually not the prerogative of the Registrar to break a policy. Procedures such as registration, graduation, etc. also are discussed in great length before changes are made. Often the Office of the Registrar is viewed as the control point for campus wide changes. Although this office must enforce such changes, students regard the Office of the Registrar as the sole source for actually making any changes. Students should understand that policies and procedures change through equal representation from every School/Department on campus. REFUND POLICY Full refunds are only given for classes dropped during registration periods. After Final Registration, percentages of refunds are given only if the student withdraws from all classes for the term. Students are encouraged to read the class schedule. Our refund policy is a Board of Regents' Policy. It usually takes 6 weeks for the Bursar's Office to issue a refund. REGENTS' TESTING PROGRAM REQUIREMENTS Click on the above link for additional information. REGISTRATION All registration times are assigned by the total number of hours earned. Students currently enrolled and not on probation have the opportunity to register in Priority Registration for the next term. For those not eligible for Priority Registration, a Final Registration is held before the start of the term. After each registration period, fees must be paid to avoid cancellation of classes. Late registration Drop/Add follows Final Registration and is available for all eligible students. Please refer to the schedule of credit courses for specific instructions and dates. Students who have been dismissed must remain out-of-school as indicated by the dismissal policy. You must complete the Repeated Course Form and submit it to the Office of the Registrar. Also see How to Calculate Your GPA OFFICIAL KSU REPEATED COURSE POLICY: When courses with earned grades of D, F, or WF are repeated with a C or higher grade, the unsatisfactory grades and course attempts will not be included in the calculation of the adjusted grade point average (AGPA). The student's permanent record and cumulative grade point average will retain all course attempts and grades. The AGPA will be used for determining academic standing and eligibility for program admission. It will not be used to meet graduation requirements which include a minimum 2.0 cumulative grade point average. SECOND DEGREE - ACADEMIC FRESH START A currently enrolled student who previously attended Kennesaw State University, who has completed a baccalaureate degree (either at KSU or elsewhere), and who is planning to earn a second baccalaureate degree at KSU may petition to restart their GPA. If approved, this will give the student an adjusted grade point average (AGPA) for the Second Degree course work. The AGPA may be used to determine honors if the student earns 60 hours after the Second Degree status is awarded. Determination of Fresh Start for a Second Degree will be made at the end of the term. TRANSFER EVALUATIONS Because of the large number of transfer students at Kennesaw, the Office of the Registrar requires approximately 6 weeks from the time we receive the student's completed file from the Admissions Office to complete and return an evaluation. We complete as many as we can before Registration, but many of our students apply at the last minute. A copy of the evaluation is mailed to the student. The Office of the Registrar has five professional staff members who work with evaluations, degree audits, and other responsibilities. Students with advisement questions are sent to the faculty advisors. If you have a question which needs to be clarified with the Office of the Registrar, please call.
