Embedded Certificate Guidelines - 2020 Catalog and Forward

Embedded certificates in the 2020 catalog and forward are attached to specific majors. These certificates will not appear on the Academic Programs page unless a stand-alone certificate can be declared as well. Embedded certificates can be found on the major degree requirements page if available to declare. 

Embedded certificates must meet the following criteria:

  • All courses associated with the certificate must appear within the degree requirements in the catalog that the student is following.
  • A student may not add an embedded certificate to their catalog year if a new certificate becomes active in a newer catalog. For example: if a student would like to add a new certificate that appears for the first time in the 2020 catalog and the student is following the 2016 catalog, the student may not add the certificate to the record. Instead, the student would need to update their major to the 2020 catalog and then declare the embedded certificate.
  • If the student is on an older catalog year that has an embedded certificate which has been discontinued on a newer catalog, the student cannot update to the new catalog year and still receive the discontinued certificate. The certificate MUST be active on the catalog year in which the student is declared and audited for degree completion.
  • No courses may fall into the Unused Courses section of Degree Works.
  • All embedded certificates must follow all requirements as outlined in the appropriate catalog year, for example: "At least 12 hours of the 18 hours counted toward the certificate must be taken from the Coles College of Business."
  • If an embedded certificate has transitioned to a minor, the certificate will no longer be awarded, and the student must follow the requirements of the minor. Also,
  • If an embedded certificate has transitioned to a stand-alone certificate, the student should declare the stand-alone certificate through Owl Express. The stand-alone certificate will appear in Degree Works in the drop-down Degree box. The stand-alone certificate will be awarded if completed prior to degree completion.
  • Students must declare the embedded certificate before/or at the time they petition for the degree by completing the DocuSign Embedded Certificate form found on the Registrar's website.
  • The embedded certificate can only be awarded at the time of degree completion by the Office of the Registrar.
  • A $15.00 fee will be applied to the student's account at the time the embedded certificate is awarded at the time of degree completion.
  • A certificate of completion will be sent to the student by the third-party diploma vendor.
  • Departments are not to print the certificate internally, as this is a violation of USG and SACSCOC policies. The embedded certificate will have the Registrar's signature only.
